Course Cancellation, Registration Transfer & Refund Policy

At Head & Neck Rehab, LLC, we are committed to providing a high-quality continuing education experience. Course planning, faculty preparation, venue arrangements, and educational resources begin well before each course. Please review the following policy before registering.

How to Submit a Request

If you cannot attend your scheduled course, email [email protected]. Our Continuing Education team will provide the Course Cancellation & Registration Transfer Request Form and explain the next steps.

All cancellation, registration transfer, and refund requests must be submitted through the official form. Contacting us by email, phone, website, or social media does not replace completing the form.

Please provide your name, registration email address, course name, course date, and requested future course, if applicable. You may include a reason for your request, but it is optional.

Registration Transfers

If you are unable to attend, you may request to transfer your registration to a future course, subject to availability. Participants who have accessed the Learning Portal or course materials may still request a registration transfer.

If you transfer to a course with a higher registration fee, you must pay the difference.

Our Continuing Education team will review your request and provide confirmation, next steps, and details of any additional payment required. Your transfer is complete only after our team confirms it.

Refund Eligibility

A refund may be considered only when all four conditions are met:

• Your cancellation request is submitted through the official request form at least four (4) weeks; 28 days before the scheduled course start date.

• You have not logged into the Learning Portal.

• You have not accessed any course materials, downloadable resources, or pre-course modules.

• You have completed the official Course Cancellation & Registration Transfer Request Form.

Meeting these conditions does not guarantee a refund. Each eligible request is reviewed individually and requires final approval from Lauren Meffen on behalf of Head & Neck Rehab, LLC before processing.

Requests submitted fewer than four weeks before the course start date do not qualify for standard refund consideration. You may request a registration transfer, subject to availability.

Learning Portal & Educational Content

Logging into the Learning Portal or accessing course materials, downloadable resources, or pre-course modules is considered receipt of educational content.

Once you have logged into the Learning Portal or accessed any educational content, you are not eligible for a refund under this policy, even if your cancellation request is submitted more than four weeks before the course.

Our team will verify Learning Portal and course-content activity when reviewing your request. A registration transfer may still be available.

Partial Refunds, Credits & Discount Codes

Partial refunds, credits, and discount codes are not offered as standard alternatives to a registration transfer. Any exception requires specific approval from Lauren Meffen.

Emergencies & Policy Exceptions

If an emergency or exceptional circumstance affects your attendance, please contact our Continuing Education team and complete the official request form.

Requests outside this policy are reviewed individually by Lauren Meffen. Submitting a request or describing an emergency does not guarantee approval of a refund or other exception.

Request Confirmation

Our Continuing Education team will notify you of the decision and any steps needed to complete an approved transfer or refund. Submission of the request form alone does not confirm approval.

Acceptance of This Policy

By registering for a Head & Neck Rehab, LLC continuing education course, you acknowledge and agree to this Course Cancellation, Registration Transfer & Refund Policy.
